Procedures for virtual meetings are subject to change without notice. Please refer to this page on the day of your hearing to ensure you are following the latest virtual hearing procedures.

Virtual Hearings

Meetings will be held via RingCentral Meetings. Before scheduling a virtual hearing, please make sure you can communicate virtually and meet the minimum technological requirements to support a virtual hearing:

    • Minimum bandwidth requirements for:

      • Meetings with two participants: 1 Mbps download/upload
      • Meetings with more than two participants: 1.5 Mbps download/upload
      • Meetings with more than two participants that include the Virtual background feature: 2 Mbps download/upload
    • Peripherals: speakers and microphone

      • You can dial into the meeting audio via phone if you do not have computer speakers or microphone
        Note: If using the dial in option for audio, you must also join the meeting via computer or smart device
    • Operating System:

      • Windows: Windows 10 or higher
      • Mac: macOS 10.15 or higher
      • Linux: Red Hat Enterprise Linux
      • Android: 8.0 or higher
      • iOS: 14 or higher

    If you select to schedule a virtual hearing, you will not be able to have a phone or an in-person Appraisal Review Board Hearing, formal hearings will be done through RingCentral

    You should prepare for your virtual meeting by clicking the link below. You will be prompted to download a small meeting launcher application and have an opportunity to test your computer audio.

    Prepare For Meeting by Downloading RingCentral Before Your Hearing

    This is for preparation purposes only. Once in the meeting, you will need to provide your name and account number in the chat box. As Appraisers become available, you will be assigned to an Appraiser for an informal hearing.

      The process for virtual hearings will be as follows:

    • Check-in to your hearing no more than 30 minutes prior to your scheduled time by entering yourself into the Virtual Waiting Room for the date of your scheduled hearing
      • QuickRef ID can be found on your notice of appraised value or in our property search
      • Please note, this is a queue check-in system. Calls will not be accepted, nor will questions be answered via sms/text message.
      • The WCAD Host will reach out to you through the chat button on the bottom of the meeting window.
      •  
      • If the chat does not automatically open, feel free to click the chat feature at the bottom of the connect with the WCAD host. 
      • You will need to know your QuickRef ID, which can be found on your notice of appraised value or in our property search QuickRef ID will be “R” followed by six digits. Ex: R123456 Please note, this is a queue check-in system. Questions about your property will not be answered via chat box in the waiting room..
    • Once an Appraiser is available, you will be moved into a private virtual hearing room.
    • If you do not come to an agreement with the appraiser and wish to proceed to an Appraisal Review Board (ARB) hearing, you will be placed into a virtual ARB waiting room. You will then be moved to a private virtual meeting room when a panel is available to hear your protest.
